Frequently Asked Questions (FAQ)

General

Global Time System is a state-of-the-art timekeeping tool, able to provide real-time visibility to timekeeping, scheduling, and accrual balances.

If you have questions about your time, please check with your manager. If you have issues with the application, please contact Employee Center. If you are supported by Optum Partner Services (OPS), you will continue to go to them for support.
OPS has view only access to Providers and APCs timecards in GTS, meaning that OPS cannot add PTO, perform punch adjustments, etc. to a provider’s timecard. Current period corrections will be made by you; Historical edits will need to be made by your manager.
GTS updates once per pay period with time off balances. GTS will display your time off balance as of your last paycheck less any time off taken in the current period.
GTS can be accessed from computers at each site. If you have a company computer with VPN access, you can punch in as long as you are on VPN. Some sites may also provide a Citrix app for remote access.
You will lose access to the GSS timesheet.
  • Non-exempt employees will attest (approve) to their time at the In punch of each day. If a day is not attested to, the employee can go to My Timecard > select Approve: an attestation message will populate > select Approve > click Submit.
  • Exempt employees should approve exception time prior to the end of the current pay period. To attest to exception time for the current pay period complete the following steps: Go to My Timecard > select Approve; an attestation message will populate > select Approve > click Submit.
  • Managers should only approve their direct report’s timecards at the end of the current pay period.
Time entries should be entered into GTS promptly and accurately; however, a limit will not be placed on how far back historical corrections are made. If a historical correction is necessary, please contact your manager.

GTS Migration

Training will be available through LearnSource. Office Hours will be available during the migration to answer questions you may have.

Non-exempt employees will receive an attestation message upon selecting the In punch each day. If certain days require updates prior to attesting, please complete the following steps:

Select My Timecard > make the necessary timecard edits > click Save > select Approve > an attestation message will populate > select Approve > click Submit.

Please note, if you've made any edits, they must be approved by your manager before you will be able to approve your timecard. Once your timecard is ready for approval, click "Approve". You will receive an Attestation message. Once you approve your timecard, no further edits can be made. If you need to perform adjustments to your timecard after selecting Approve, simply click Remove Approval.

Select Cancel in the Attestation message. Your timecard will not be approved. Go to the My Timecard, make the applicable adjustment(s) > click Save. Note: You will not be able to approve your timecard until your supervisor or manager approves the pending timecard edit(s). Once the adjustments are made, follow the approval process.
You are responsible for punching in and out during your meal break. There will not be automatic meal deductions. If an edit needs to be made, it will need to be submitted for manager approval.

All Employees

To continue the modernization of processes and tools which allows UHG and Optum to provide a better user experience for workforce management and to improve operating efficiencies and minimize compliance risks.
GTS provides user-friendly dashboards for both employees and managers. It allows you to see your time entry, in real time and provides you with alerts and notifications on the status of those requests.

You can use the Time Off Tile to submit your time off request to your manager. Simply choose the Time-Off Request option and select the type of time you want to take. The balances for each type of time off requests are displayed for your convenience. Once your manager has approved the request, you will receive a confirmation notice.

You can also submit a time-off request by going to the Main Menu > My Information and select My Calendar. From this workspace, select New Request. Select the dates, amount of time, and accrual you want to use. Once the request is submitted, you can view the request via the My Calendar workspace. The status will update once the request is approved by your manager. Your timecard will update to display the corresponding pay code as the date approaches.

You can access My Calendar through the main menu or use the My Schedule tile on the Home Page as a shortcut.

My Calendar displays the current month by default. However, you can switch the timeframe by selecting View. My Calendar has many helpful visuals, including:

  • Your scheduled shifts
  • Approved PTO days
  • And other scheduled work events and holidays
The Request tab provides a history of submitted requests and their status, whether approved, refused, or canceled.
The GTS home page is organized into a series of tiles. Tiles act as a short cut to view and complete common tasks like access your timecard or schedule. Additional pages are available via the Main Menu. The tiles are the same on the desktop or mobile device view; they are sized appropriately for the device you are using and can be customized based on your preference.
To view a different time period, simply use the drop-down list or calendar to select the dates you want to view.
An Exception is an issue with your timecard such as a missed punch or an absence.

You can correct an Exception by clicking the cell that shows the Exception and typing in the missed punch or absence information.

You will receive a message above the timecard stating that your changes are submitted and that you will not see them on the timecard grid until they are approved by your manager. Your manager will receive a notification and can approve or reject the submitted edit. Once approved or rejected, by your manager, you will also receive a notification. The approved edits will then display on the timecard.

Future time off requests: For planned time off, simply select the Time-Off Request link that is in the Time Off tile.

Previous time off: If a previous time-off entry is required for the current pay period, you can go back to the day(s) in your My Timecard to enter in the time.

Supervisors/Managers

You will now have direct access to real-time information about:

  • Time Tracking
  • Time Reporting

Notifications and alerts regarding employee requests will be sent in real time and you can approve or reject the request immediately. All this via a system that can be accessed from your smartphone or computer.
