About Scheduling
Scheduling is optional.
- Schedules are not required. If your business has elected to use Global Time System scheduling, you will be responsible for maintaining your employees’ schedules.
- Schedules do not pay employees. Meaning, non-exempt (hourly) employees will still need to punch in/out even if your non-exempt employee has a schedule in the system.
Create a Shift from a Template
Shifts are times during the day that employees are assigned to work. You cannot add shifts on signed-off or locked days.
- Right-click the date cell in the schedule that corresponds to the employee and date to which you want to add a shift. The Employee glance appears.
- From the Employee glance, select Insert Shift Template
The Insert Shift Template panel opens.
- From the Insert Shift Template panel, select the shift template from the list. You can also use the Search box to enter the first few letters of a shift.
- Save the schedule.
Adjust Start and End Times of Shift Segments
- Right-click a date cell in the schedule.
- Select Add Shift from the glance.
- From the Add Shift panel, you can modify the shift, use a template, add or modify segments, repeat a shift and more.
- Use the shift slider graphic to
adjust the start and end times of any segment of the shift.

- Drag the diamond left or right to adjust the start or end time of a segment.
- If the start or end time you need is not visible (because it is beyond the left or right edge of the slider) select the left-facing arrow

to bring the desired time into view.
- Drag the break icon
left or right to reposition it without changing its duration.
- If the start or end time you need is not visible (because it is beyond the left or right edge of the slider) select the left-facing arrow
- Drag the diamond left or right to adjust the start or end time of a segment.
- Select Apply.
- Save the schedule.
Delete a Shift from the Glance
You can delete shifts that the employee will no longer work or were entered in error.
- Right-click any shift in the schedule. The Employee glance appears.
- Select Delete.
- Save the schedule.
If you have many shifts to delete, save time by using Delete from the Quick Actions menu.
Retrieve a Shift or Paycode Deleted by Mistake
The schedule does not have an "un-do" command, but there are ways to retrieve an item deleted by mistake:
- Do not save the schedule but select Refresh.
The software re-loads the last saved version.
- If you've already saved the schedule, right-click the date cell and select Restore, then save the schedule.
Schedule groups organize employees who share characteristics such as schedules into groups that make their schedules easier to manage or view. When you assign a schedule group, you may be assigning schedules to all members of the group.
Adding Employees to a Schedule Group
Employees can be in more than one group, but you can only add employees to one group at a time.
- In the schedule, select View By > Schedule Group. The available groups are listed in the first column as well as the ungrouped employees.
- Select the check box next to the name of the employee(s) you want to add, then right-click one of them and select Add to Group.
- On the Add to Group panel, do the following:
- Select a group from the Group drop-down list.
- Specify a Start Date and optionally, an End Date, or accept the default value of Forever.
- Select Remove employees for other inheritance groups for selected date range.
- Select Apply.
Removing Employees from a Schedule Group
An employee can be in more than one group, but you can only remove employees from one group at a time.
- In the schedule, select View By > Schedule Group. The available groups are listed in the first column as well as the ungrouped employees.
- Select the check box next to the name of the employee(s) you want to remove, then right-click one of them and select Remove from Group.
- On the Remove from Group panel, do the following:
- Select the group from the Group drop-down list.
- Specify a Start Date and optionally, an End Date or accept the default value of Forever.
- Select Apply.
