Schedule Paycodes
You can add a paycode to the schedule to add planned time off or schedule an employee for training, or you can convert a shift to a paycode. In both cases, similar options are available.
Add a Paycode to Enter Time Off
You can add a paycode to enter planned time off for a day or several days or you can convert a shift to a paycode. In both cases, similar options are available.
Note: You cannot edit shifts that have been locked by a supervisor. You cannot edit shifts in schedule periods that have been signed-off.
To convert a shift to a paycode
Use the Paycode Quick Action to insert default values for a selected paycode, with start and end time that corresponds to the shift you replace:
- Click Quick Actions to open the Quick Action toolbar.
- Click Paycode
.
- Select the paycode from the menu.
- Click the shift you want to replace. (You can optionally click additional shifts to replace them with the same paycode.)
- Click Paycode
again to deactivate the quick action.
- Save your changes.
To add a paycode from a glance
Use the Paycode action available from different glances to access to all options for creating a paycode.
- Right-click an employee, a shift, or an empty date cell. The corresponding glance appears. Select Add Paycode
. The Paycode panel displays.
- Depending on which entity you first right-clicked, different options are available. Default options appropriate to the context are provided. Modify any default option as required:
- Effective date: Select the Effective Date to define when to apply the paycode.
- Paycode: Select the Paycode type. For example, Bereavement.
- Start time: Specify when the paycode should take effect in the schedule. For example, 9:00am.
- Duration: Select Specify Amount, then enter a duration in the Amount Hours field. For example: 2:00.
- (Optional) Enter the number of consecutive days to repeat the paycode. This value is in continuous days and does not skip holidays or weekends.
- (Optional) select Add Comment to choose a Comment from the list of configured comments and add it to the paycode. Type in the Note text box to add a personalized note to the comment.
- Select Apply.
- Save your changes on the main schedule page.
Delete a paycode
You can delete paycodes from an employee's schedule that no longer apply or were entered in error.
Delete a paycode
- Right-click any paycode in the schedule. The Shift glance appears.
- Click Delete.
- Save
your changes in the schedule.
Retrieve paycode deleted by mistake
Scheduler does not have an "un-do" command, but there are ways to retrieve an item deleted by mistake:
- Do not save the schedule but click Refresh
instead. The software re-loads the last saved version.
- If you did save changes and the deleted paycode was part of a schedule pattern, you can Restore the paycode by right-clicking the cell of the paycode you deleted and from the Employee glance menu, select Restore.
- If you did save changes and the deleted paycode and the employee is part of a schedule group, you can Reinherit the paycode from the schedule group by right-clicking the cell of the paycode you deleted and from the Employee glance menu, select Reinherit.
Edit a paycode
You can edit an existing paycode in the schedule by following the steps below.
- Right-click a paycode on the schedule, then click Edit. The Edit Paycode panel appears.
- From the Edit Paycode panel, edit the paycode options as necessary:
- Effective Date - Select the Effective Date to define when to apply the paycode.
- Paycode — Select another paycode from the list.
- Start Time — Enter the Start Time to define the time of day.
- Duration — Select Specify Amount, then enter the number of hours.
- Override Shift - If the paycode edit replaces a shift, select Override shift. You can override a whole shift or a partial shift.
- Comments and Notes - If you need to include some additional information, you can create a comment or a note. Select Add Comment to choose a configured comment from the list that appears and add it to the Paycode. Enter text in the Note text box to add a personalized note to the comment.
- Click Apply.
- Save
your changes in the schedule.
Notes on Durations and Amounts
Units for Duration and Amounts change according to the type of paycode:
- For days (d.dd), enter a number between 0 and 1.
- For hours (hh:mm), enter a positive number.
