Making Temporary Shift Changes

Shifts display in the Schedule page. Shifts are times that employees are expected to work. Once an employee has been assigned a schedule, it is possible to modify the shifts in the schedule for any current or future period.
Create a shift by typing (table view only):
- Double-click a date in the schedule that corresponds to the employee and date to which you want to add a shift.
- In the Add Shift panel, enter a Start Time and an End Time. Use standard time-of-day format. For example, to create a shift from 8a-4p, enter 8a in the Start Time field and enter 4p in the End Time field.
- Select Apply.
- Save the schedule.
Create a shift from a template:
- Right-click the date cell in the schedule that corresponds to the employee and date to which you want to add a shift. The Employee glance appears.
- From the Employee glance, select Insert Shift Template
The Insert Shift Template panel opens.
- From the Insert Shift Template panel, select the shift template from the list. You can also use the Search box to enter the first few letters of a shift.
- Save the schedule.
Note: A shift created from a template is not linked to the template. If you modify the shift template, existing shifts do not change. Only shifts created after the shift template modification are affected. Similarly, if you modify a shift created from a shift template, the template is not affected.
Create a shift with all options available:
- Right-click a date cell in the schedule,
- Click Add Shift
in the Employee glance.
- The Add Shift panel for the selected employee appears so you can:

- Use a shift template to add a shift
- Add or modify shift segments
- Assign breaks
- Add comments
- Schedule a transfer
- Repeat a shift
- Select Apply.
- Save the schedule.
Modify an entire shift:
Double-click the shift you want to edit, then perform any of the following actions:
From the Edit Shift panel, select the More icon to see available actions for modifying the shift as a whole:
- Use Template sets the shift parameters to match the shift template you select.
- Change Shift Label modifies the label displayed on the schedule when Shift Label visibility is selected.
Note: Shift labels do not change automatically if you edit a shift. For example: If the shift label is 7a3p, and a manager changes the end time to 4:00pm, the label disappears and is replace by the start and end times. The best practice is to change the shift label if you modify the shift.
- Use the shift slider graphic to adjust the start and end times of any segment of the shift.
- Drag the diamond left or right to adjust the start or end time of a segment.
- If the start or end time you need is not visible (because it is beyond the left or right edge of the slider) select the left-facing arrow
or right-facing arrow
to bring the desired time into view.
- Drag the break icon
left or right to reposition it without changing its duration.
- Select the Start Time field to enter a different shift start time.
- Select the End Time field to enter a different shift end time.

Select Add Comment to attach a predefined comment to the shift by selecting it from a menu.
- To add a personal note to the comment, type in the box.
- To delete a comment or a note, select the delete icon
the next to the comment or note you want to delete.
- Shifts with comments attached appear with a talk bubble visual indicator in the schedule grid:
- Select Apply when you are done.
- Save your changes.
You can delete shifts that the employee will no longer work or were entered in error.
Delete a shift from the Glance:
- Right-click any shift in the schedule. The Employee glance appears.
- Select Delete.
- Save your changes.
Note: You cannot delete shifts that are locked or on locked or signed off days. If you have many shifts to delete, save time by using the Quick Action Delete instead.
Delete a shift using Quick Actions:
- Select Quick Actions from the top of the schedule.
- Select the shift you want to delete.
- Select Delete.
- Save the schedule.
To copy a shift using drag and drop:
- From the Gantt view, select the shift you want to copy.
- Hold the Ctrl key down on your keyboard while you move the shift to another cell using the mouse.
- Release the Ctrl key and mouse when you've reached the intended cell.
- Save your changes.
To move a shift using drag and drop:
- From the Gantt view, select the shift you want to move.
- Hold the left-mouse button down and drag the shift to another cell.
- Release the mouse when the move is complete.
- Save your changes.
