We are Upgrading our Timekeeping System

In April of this year. we initiated a project to upgrade our timekeeping and payroll processes from Workforce Central to Dimensions. Our main intent for this change is to provide a streamlined and modern user experience for timekeeping and scheduling. UKG Dimensions provides better, faster, and easier access to daily tasks and real-time reporting.
Over the past few months, your organization has partnered with UKG (formerly known as Kronos) to build, test, and upgrade our timekeeping system. This cross-functional project team has been configuring the UKG Dimensions system so that our pay codes, profiles, reports, views, and procedures are standardized and easier to use.
The work of this team is nearly complete, and we are preparing to launch the system in your location soon.
In the coming days and weeks, there will be much activity related to UKG Dimensions occurring. One thing that will be highly visible is the use of the Coach app to introduce you to the new interface and provide access to training. We encourage you to use the “Contact Us” page in the Coach app to ask questions about the upgraded system. You will receive updated information and training on how to use UKG Dimensions prior to our go-live date.
Why we are changing
- In the next five years, Workforce Central will be unsupported for new features.
- Dimensions leverages cloud-based technology which eliminates temporary shutdowns or black-out dates due to version upgrades.
- Functionality for mobile will enhance user accessibility. People can request and manage time off requests, anytime, anywhere.
- Standardization of time and attendance software across all business units.
- Online training and ongoing online training support at point-of-need.
- Standardization of pay codes, comments, ship premiums will be calculated consistently and visible in Dimensions.
- Inspired by YOU, our most valuable resource, your organization is leveraging UKG (formerly known as Kronos) technology to remain on the "best" and most advanced industry-standard platform.
What is changing starting February 2022
- You will see the name of the current system change from Kronos Workforce Central to UKG Dimensions. This is not a new vendor. Because Kronos has recently changed its name to UKG, we are upgrading to the latest technology -- UKG Dimensions.
- You will log into the UKG Dimensions system at least once a day to check notifications for any timecard exceptions, then resolve any issues with employees’ time and attendance information, much like you do today.
- At the end of each pay period, you will resolve any final issues and approve all timecards for payroll processing
- Employees will submit time off requests electronically using UKG Dimensions—you will be expected to manage those requests in a timely manner.
Positive impact of this change for you
- Managers will have new tools and a new navigation model plus mobile acccess
- Ability to manage time using the Notifications panel—no need to look at every timecard.
- Scheduling KPIs allow you to see where your staff is in real time so you can make good coverage decisions.
- Tiles on the Dashboard provide quick information to make guided decisions based on real-time information such as being able to see absence trends at an employee level.
- Attestation in Dimensions will be much simpler.
- Dashboard views for important information for supervisors will result in increased efficiency. Supervisors will be able to see, at-a-glance, KPIs and act on data by taking advantage of the information in the Dashboard for more-informed decision making.
Getting started
- Take a tour of the new self-service training app; Coach. Click the Help icon
in the upper-right corner of the Coach app to take a quick tour of the training app.
- Complete the UKG Dimensions training prior to February 2022. An email with additional information and a link will be sent to you prior to system go-live.
- Show your support of the system with your employees. Answer their questions and listen to any concerns they may have.
- You are expected to reinforce the use of Dimensions with your people. The success of this project depends on you holding your people accountable for using the system.
- Ask your manager, or submit any questions you or your employees may have using the “Contact Us” page in the Coach app.
- Use the “Contact Us” page in the Coach app to provide constructive feedback about what we can do to make the transition easier for you and your team.
